Additional Invoicing Instructions

TRADECRAFT TERMS & POLICIES

Payment(Required)

TradeCraft issues all invoices via QuickBooks. Payment is due net 30-days from the invoice date. ACH payments can be made directly through QuickBooks via a secure link & includes a standard $25 QB processing fee . Credit card payments may be processed through PayPal or Venmo upon request by contacting accounting@trade-craft.com or 210-775-0123. A 3.5% convenience fee applies to all credit card transactions. Checks should be made payable to TradeCraft.

Payment to Media Vendors(Required)

Effective October 2025, TradeCraft no longer remits payment to media vendors on behalf of clients. TradeCraft will recommend, negotiate, and place approved media, handle trafficking, reconcile invoices, and provide them to the client for direct payment to the vendor. An industry-standard 15% agency commission for media placement will appear on TradeCraft invoices (categorized as online/digital or print).

Production & Hard Costs Billing(Required)

TradeCraft pays production vendors on behalf of the client. Hard production costs such as promotional items, printing, stock assets, and licensing fees are billed with an industry-standard 25% agency margin applied to the net cost. Travel, mileage, delivery services, courier fees, shipping, and postage are billed at cost with no agency margin applied.

Sales Tax(Required)

All proposals, estimates, and budget trackers exclude sales tax unless otherwise noted. Actual costs may vary ±15% based on scope or vendor changes. TradeCraft adheres to the Texas Comptroller’s Office guidelines to determine and apply the appropriate sales tax for each labor category, ensuring full compliance with state regulations.

Overdue Invoices(Required)

A 1.5% monthly service charge may be applied to all invoices 60+ days overdue. TradeCraft reserves the right to withhold delivery or transfer of any work until payment is received in full. If a project is placed on hold for more than 30 days, TradeCraft reserves the right to bill for actual time spent to date.

Termination(Required)

Either party may terminate this agreement with 30 days written notice. All work completed through the termination date will be invoiced and payable per standard terms.

Confidentiality Clause & Intellectual Property

TradeCraft agrees to maintain confidentiality regarding all client information, materials, and data shared during the course of the engagement, except as required by law. Upon receipt of full payment, ownership of final approved deliverables transfers to the client. TradeCraft retains ownership of all preliminary materials, concepts, and unselected creative.
